Best apps for private language tutors (2026): comparison with prices

How many apps have you downloaded, tried for a week and then forgotten about on your phone? Yours truly lost count a long time ago. The best apps for private language tutors depend on one question: do you need to organize the students you already have, or find new ones? We've compared 10 apps, with the price and source for each one, so you can choose without trying them all.

What's the best app for private language tutors?

If you already have students and teach languages, our pick is SmartCookie (our product): bookings, lesson notes, packs and card or Bizum payments in one app. TutorBird and Teachworks suit several subjects and academies. To find new students, you can use a marketplace like Preply or Superprof, which charge a commission on what you earn.

Marketplaces to find new students

Marketplaces find you new students and in exchange charge fairly high commissions and set the rules for payment and contact with your students.

Here you play on their turf: the payment and contact rules are theirs, and commissions go up quite often. Read all the terms carefully before signing up. All the commissions side by side in Preply, italki and Superprof commissions.

Calendar + spreadsheet

A free calendar and a spreadsheet are enough to manage your first students without spending anything.

The free option, and the one I started with too: a calendar for your lessons and a spreadsheet to track who has paid. It costs nothing and works with a few students. The problem comes at eleven at night, when you're trying to remember whether Marcos paid you by Bizum or just said "I'll do the transfer next week". When you're constantly chasing payments and moving lessons around, this system has already stopped working (even if you don't want to admit it).

Where SmartCookie isn't the best option

SmartCookie isn't the best option if you need new students, run a very large school with several locations and dozens of teachers, only need a booking link or can't pay anything yet.

Heads up: SmartCookie isn't for everyone. Choose something else if:

  • You need students. SmartCookie organizes the ones you already have; it doesn't bring you new ones. For that you can use a marketplace (which will keep part of your earnings as commission) or, even better: get out there and find your students in the places where they hang out.
  • You run a large school with several locations. Compare it with Teachworks before deciding.
  • You only want a booking link. Calendly's free plan does exactly that, though of course it doesn't include any of SmartCookie's other features.
  • You can't pay anything yet. That's understandable when you're starting out: a calendar and a spreadsheet cost nothing. However, keep in mind that the time you spend on admin is never paid. How much do you charge for 1 hour of lessons? How many hours do you spend managing your schedule? Is it worth it?
